How to choose?

Choosing the right path depends entirely on your budget, the scale of your event, and how much responsibility you want to take on before, during, and after the party.

When deciding between the two, the biggest differences come down to logistics (how the equipment gets to your venue) and engagement (how much fun your guests actually have).

DIY Rental

With a DIY Rental, also known as a dry hire, you are paying strictly for the use of the equipment. The provider supplies the wireless LED headphones, transmitters, and audio cables, but you serve as the sole coordinator for setting up & operating the silent disco.

 

Equipment Delivery
(How You Get the Gear)

If you rent from a national online provider (a company that ships the equipment to you from across the country), the logistics involve physically shipping the headphones to you. You will receive your headphones in cases from the carrier a few days before your event and will store them until the event.

After the event, you'll pack everything up, apply return labels, and prepare them for shipping right away to avoid any late fees. You'll either need to drop them off yourself or arrange for the carrier to pick them up.

If you rent locally from CTYHOP or another local vendor, no shipping is required. CTYHOP Silent Disco delivers straight to your venue & picks up after the rental is complete. You avoid shipping costs, shipping delays, and late fees. We even assist you with setup, making sure everything is working & connected properly before we leave, and provide 24/7 standby support.

 

Event Execution
(Setup & operation)

The Setup: You are responsible for unboxing the gear, plugging in the transmitters (usually up to three), and pairing them to your audio devices (phones, tablets, or laptops). You will also manage handing out the headphones and keeping your guests engaged.

 

DIY RENTAL COSTS

Renting equipment is the most cost-effective approach. Expect to pay between $5 and $10 per headphone per day. For 100 guests, a base rental typically runs $500 to $1,000 depending on the provider, plus shipping costs if applicable.

 

Is A DIY rental right for you?

Who it is a good fit for…

DIY rentals are ideal for casual house parties, strict budgets, and events where you need complete control over the content.

It is a great choice if you or a trusted friend wants to DJ, and the best option if you need to deliver uniquely curated content, such as an art exhibit or documentary screening.

Who it is not a good fit for:

Planners who want to be completely hands-off during their event. If you want to mingle with your guests or hit the dance floor without worrying about managing laptops or troubleshooting audio configurations, DIY is not the right fit.

Also, for larger festivals & event managers handling dozens of moving parts, a DIY rental is not a good idea if you don’t have the dedicated staff to manage the experience for larger crowds.

 

Shipped Gear vs Local Rental

If you do decide to rent, you’ll need to choose a provider to supply the headphones. Choosing whether to ship gear or rent a local silent disco company depends on your specific needs. We recommend going with a national provider like Sound Off™ if you need very large quantities of headphones (i.e., 1500+), multi-day rentals, and/or specific headphone models.

We recommend renting locally if you're booking quantities under 1500 and/or want to completely avoid the risk of carrier delays and your headphones not arriving on time for the event. It's also a good option if you need headphones on short notice, i.e., within a couple of weeks. (CTYHOP offers same-day bookings.)

A full-service booking turns the silent disco into a completely hands-off experience. You hand over the responsibility of the equipment, the setup, and the entertainment to the vendor.

 

Equipment Delivery (Vendor Load-In)

Getting the Gear: You don't touch a single box. Our team (or your chosen local vendor) handles the transportation, load-in, and load-out of all equipment.

Your Role: Your logistics shift purely to vendor coordination. You simply provide your vendor with any specific preferences and/or venue requirements, and the team arrives at the scheduled time.

 

Event Execution
(Setup & Operation)

The Setup: The on-site team handles all the technical details. They set up the transmitters, manage the music, and distribute the headphones to your guests. If there’s an issue, the on-site tech fixes it immediately.

 

Full-Service Dance Party Costs

Because you are paying for equipment and labor, the price will be higher than a DIY Rental, but still comparable to other full-service entertainment options. A full-service dance party for a 100-person event will likely cost between $1,200 and $2,500, depending on the number of DJs.

 

Is the Full-Service option right for you?

Who it is a good fit for…

Full-service is the best route for high-profile events, weddings, corporate gatherings, school & youth events, and large festivals where you want guaranteed fun and professional support. It is the right choice when you want the ultimate peace of mind and a great experience for your attendees.

Who it is not a good fit for…

Events with strict entertainment budgets under $1,000, or smaller gatherings where a DJ and crew might feel like overkill.

The Guest Experience: Which Option is More Fun?

Logistics and budgets aside, the ultimate goal of any event is for your guests to have an incredible time. So, how does the actual party experience compare?

 

The DIY Experience:

When you run the music from a Spotify or Apple Music playlist, you have 100% control over exactly what plays.

The Pros: If you have a specific, niche group of friends with very distinct musical tastes, you can curate the exact soundtrack they want. There are no surprise songs or DJ transitions, just the tracks you have on your lists.

The Cons: A playlist cannot "read the room." If a song comes on and no one is dancing, a playlist just keeps playing until the track ends. During a silent disco, guests have short attention spans because they can simply click a button to change the channel.

The energy of the party can fall flat if your music choices aren't consistently engaging. Attendees will likely get bored & want to move on to something else after about 15 minutes.

 

The Full-Service Experience

When you book a full-service silent disco dance party with DJs included, you aren't just paying for someone to hit play; you are paying for live entertainment & crowd engagement.

The Pros: Live DJs watch the dance floor. If people are loving 90s hip-hop, they lean into it. If a track isn't landing, they mix out of it in 15 seconds to keep the momentum going.

Furthermore, a great silent disco DJ acts as an MC. They can hop on the microphone to hype up the crowd, queue up special moments, and keep the crowd moving.
